Leads arrive and response time drifts: during the day a rep answers in five minutes, in the evening the next morning, at the weekend on Monday. Conversion to a deal falls sharply with every hour of waiting. That is the gap AI agents in sales are actually filling.

What to give an agent

The instant first reply. The cheapest and most visible win. A lead that gets a substantive answer in 30 seconds rather than three hours converts better regardless of what follows.

Qualification. The agent asks the clarifying questions — volume, timeline, region, budget range — and sorts leads by priority. In the morning your rep opens eight hot enquiries and thirty-two triaged ones rather than forty unknowns.

Filling in the CRM. The dullest part of the job, and the part always done badly. The agent creates the record, populates the fields and attaches the conversation.

Standard pre-sale questions. Price, timelines, warranty, how you work — 60–70% of all enquiries.

Reviving dormant leads. A list of contacts untouched for three months is a ready segment for a careful outreach sequence with live replies.

What an agent must not own

Final agreement on price and terms. An agent that grants a discount on its own creates commitments you did not plan for.

Complex or hostile enquiries. Complaints, returns, dissatisfaction — a human is needed, and the sooner the better.

Promises about timelines and outcomes. Models tend to say what the other party wants to hear. In sales that leads straight to conflict at delivery.

Unsupervised handling of personal data. What the agent asks for, where it stores it and who it passes it to must be defined before launch, not after.

Designing the handover

This is the most important part of the design. Escalation rules must be explicit: the customer asks for a human twice, the enquiry concerns a complaint or return, the value exceeds a threshold, the agent fails to understand twice, or the topic is outside the knowledge base.

On handover the rep must receive a summary of what has already been established, not "the customer wants to talk". Otherwise the customer explains everything a second time and the entire speed advantage is lost.

What you need to launch

The minimum set: a knowledge base with real answers to standard questions, CRM access for writing leads, documented qualification and escalation rules, the channels themselves (site, messengers, email), and a person who reviews conversation logs weekly.

That last item is the one most often skipped, and it decides the outcome: for the first two or three weeks the agent gets things wrong, and without log review those errors simply accumulate.

A realistic timeline to a working version is a month or more. "Live in three days" usually means a scripted chatbot under a different name.

How to measure it

The metrics that tell the truth: time to first response, share of enquiries closed without a rep, lead-to-qualified-lead conversion, and rep time per deal. Not "messages sent by the bot" — that measures activity, not results.

Always compare against the period before launch, and watch the escalation rate: if it climbs, the agent is adding a step rather than removing one.

Will an agent replace a salesperson?

No. It removes routine and first touches; a human closes the deal. The realistic goal is that your rep spends time negotiating rather than sorting enquiries.

Will customers realise they are talking to an AI?

Usually yes, and it is better to say so plainly. Passing an agent off as a person produces a negative reaction the moment it becomes obvious.

Does it work in Ukrainian?
